Automatically Track Inventory Usage

I'm new to smartsheets and am not an excel expert, but I've been building some sheets and workflows and have a question about more advanced capabilities of the program.

I'm hoping there's a way to automatically track inventory usage based on information input into a separate smartsheet form? I have two sheets: one is the inventory list, and one is related to outgoing inventory items. I'm wanting to include the items from the inventory list on the outgoing inventory form and when users "order" an item through the form, have it deduct from the quantity noted in the inventory sheet automatically.

Can someone let me know A) if this is possible; andB)how to do it? Thank-you!

    Hi,

    A=Yes

    B=

Can you describe your process in more detail and maybe share the sheet(s) or some screenshots? (Delete/replace any confidential/sensitive information before sharing) That would make it easier to help. (sharetoo,[email protected])

    Have a fantastic week!

There is a Template in the Solution Center that's called Inventory Management that could be a great starting point.

    Would that work?

Let me know if you have any questions!

I always forget to check the Solution Center. I went through and spent a few days setting up some sheets/reports/dashboards for someone. Not long after, I accidentally stumbled across a template in there that was almost identical to what I had just spent days building. Haha

  • Him,

I found this discussion in the community and I have a similar situation.

I am currently using the template "Inventory Management".

I need to track my current stock and how it fluctuates as I have items being checked out by users.

I tried to use this template, but I could have the order be deducted from the quantity in the inventory.

I am currently using both stock and orders/check outs in the same document--I am following the template.

    Does anyone can help me?

    Thank you so much.

    Carolina.

  • Hi Caroline,

    What solution did you find?

I'm currently looking at the same thing, trying to monitor inventory and considering creating a form to check out material.

What I am trying to find out is if the form is capable decreasing the value in inventory and also recording it in another sheet with date/time stamp and record name of person checking it out.

    Thanks,

    Alex

Hi @Filippo

You can use a COLLECT Function to filter results, for example:

=IFERROR(INDEX(DISTINCT(COLLECT({Trial Lead}, {Trial Lead}, <> "Joe Black")), [Unique Row ID]@row, 0), "//m.santa-greenland.com/community/discussion/49341/")

An alternative would be to use a Report and Group by the Trial Lead column, ignoring out the users you don't want by adding them to the filter criteria in the Report.

Cheers,

Hi @Tamar

I think this is happening becuase you are editing a range that exists in the original location. Instead of editing the range in the new location, be sure to delete the entire range and then click in the place where it was in the formula. Then choose another range.

I hope that helps.

The INDEX function should be retaining the data type (in this case date value). It sounds like the issue is that there is at least one blank or no-date value within the range. To accommodate that you would use:

=COUNTIFS({All Sites CAPA}, CONTAINS("CAPA", @cell), {All Sites CAPA Effective Date}, IFERROR(MONTH(@cell), 0) = 6, {All Sites CAPA Closed On Time?}, CONTAINS("CAPA Overdue", @cell))

https://community.smartsheet.com/api/v2/discussions?page=2&categoryID=322&includeChildCategories=1&type%5B0%5D=Question&excludeHiddenCategories=1&sort=-hot&limit=3&expand%5B0%5D=all&expand%5B1%5D=-body&expand%5B2%5D=insertUser&expand%5B3%5D=lastUser&status=accepted
">
