Who can use this capability

What you can do in card view depends on the sharing permission level you have in the sheet. For details about specific actions, you can take in card view, reviewthis table.

With card view, you can organize tasks, work items, or ideas into actionable groups.

For example, you need to change the task status fromTo DotoDone. To do this in card view, drag a card from theTo Dolane to theDonelane.

You can adapt the card view to several project management methodologies (including agile). If you’re familiar with scrum or kanban, you’ll find that the card view in Smartsheet functions in a similar way to scrum or kanban.

In card view, you can print only individual cards.


Work in card view

  1. 在工具栏上,选择theViewlist.

  3. Optional: In the right area of the toolbar, select:
    • Compact View- Choose this if you only want to see the card title
    • Full View- Choose this if you want to show the selected fields in the card

Set up card view

Card view works in any sheet as long as the sheet includes at least one Dropdown (Single Select) or Contact List column. In card view, the values specified for the column become the headers, calledlanes.

You can also use card view with data youimport from Microsoft Excel, Google Sheets, Microsoft Project, or Trello.

Once you’re in card view, you’ll work with lanes andcards.

  • Lanes:Labels at the top of the card view window define the lanes
    Card view will display a maximum of 64 lanes.
  • Cards:The tasks or work items that appear within the lanes
    In grid view, each card appears as a separate row.
  • Fields:The items that appear on the cards
    To see the field name associated with a value, hover over the value in the card.

Work with card view lanes

In card view, a lane is equivalent to a value in a dropdown, contact list, or symbol column in grid view. When you switch to card view, a value in a column becomes the heading of the card view lane.

Change the lanes in your card view

You can change what appears in your card view, so you can organize cards the way you want. Note, however, that you can’t view these column types as lanes in card view:

To change card view lanes

  2. Choose the grouping you want to switch to.
    • For example, to arrange the lanes according to the task owner, selectView by Assigned To.

TheView bysetting is unique to you. Others who view the sheet won’t be affected if you select a differentView byoption. Anyone with access to the sheet can choose a differentView bysetting.

Fix cards in the Uncategorized lane

Smartsheet adds cards to the Uncategorized lane if it detects any of these behaviors:

You switched lanes for which some cards don’t have field entries Drag them to the appropriate lanes, or if it doesn’t make sense to sort them, leave them in theUncategorizedlane

In the contact column of your sheet, you edited the existing value with a different contact

Show or hide a lane

  • You can collapse or expand lanes in card view to focus on select groups of cards. In the heading of the lane you want to hide, select theCollapse Laneicon.
  • To expand collapsed lanes, in the lane you want to expand, select theExpand Laneicon.

Reorder lanes

You can drag lanes into the order you want. When you drag a lane, you'll also change the order of the values in the dropdown column that it's associated with.

You must be an Owner or an Admin of a sheet to edit or reorder lanes. If you don't have the right permissions, you can’t drag lanes.

Add a lane

  1. In the rightmost lane, selectAdd Lane.
  2. Type a name for the lane.
  3. PressEnter, or select any portion of the screen.

Depending on yourView bysetting, you can name a new lane with a dropdown, or a contact list column:

  • Dropdown column:When you add a lane while viewing by a dropdown column, Smartsheet adds the name of the new lane as a value to the dropdown list.
    • For example, if you add a lane whileView byis set toStatus, the new lane name will be added as an item in the dropdown list for theStatuscolumn in grid view and Gantt View.
  • Contact List column:When you add a lane while viewing by a contact column (e.g., Assigned To), type your contact’s name as the new lane’s name. A dropdown list will appear once you type a contact name. From there, you can choose the user you want to add in the contact list column.

Change the name of a lane

  1. Double-click the lane name.
  2. Type the new name.
  3. SelectEnter.

Depending on theView bysetting, you can name a new lane with a contact or dropdown list value:

  • Dropdown column:When you change the name of a lane while viewing a dropdown column, Smartsheet changes the underlying value in the list. The Smartsheet app also updates any cards that exist in the lane to use the new name.
  • Contact list column:改变一个车道的名字而联系李查看st column is similar to adding a new lane. When you start typing a contact name, a dropdown list will appear. From there, you can choose a contact you’d like to add in the contact list column.

You can’t rename or reorder symbol lanes.

Merge contact lanes

When you select a contact list column inView by, you may have multiple lanes with cards assigned to one person. For example, you may have multiple lanes named Sally Smart (if Sally is assigned to cards with more than one email address), or you may have a lane named Sally and another lane named Sally Smart. You'll have more than one lane because both the name and the email address of a contact need to match, otherwise they’re treated as separate people with their own lanes.

To merge lanes and match contacts

  1. Change the name of the lane you want to merge with another lane.
  2. In the dialog that appears, selectMergeto combine the lanes.
    • To undo the change and keep the lanes separate, selectCancel.

View resource overallocation

If you enable resource management,you’ll see the overallocation of your resources.

To reassign cards to someone else

  1. In card view, view the cards by aContact Listcolumn.
  2. Drag overallocated cards to different lanes/contacts.

To identify overallocated resources, look for a red silhouette icon in the lower-left corner of a card.

Visualize task status with symbol lanes

You can view lanes by symbols to see and easily move cards into desired symbol categories. For example, you can move cards from theRedlane to theYellowlane to make changes to the task status.

  • The text label is displayed to the right of the visual symbol
  • You can’t view flag and star symbols as lanes
  • The symbol lanes follow the order of the symbol column options you see in grid view. IfRedoption is the first option of the symbol list in grid view, it will appear as the first lane in card view.

Move cards

To move a card, drag it to a lane or across lanes.

Moving a card up or down within a lane won’t affect its content.

In contrast, when you move a card from one lane to another, the value for the field will be updated to reflect the value of the lane where you moved the card. For example, you moved a card from theClient Summarylane to thePending Salelane. The field value for State will change fromClient SummarytoPending Sale. You’ll see this change if you open the card to edit it or if you switch to grid view.

Define relationships between tasks, and organize subtasks with a parent task. You can add subtasks both in the grid view and card view:

  • Grid View:Indent rows under a parent to create a hierarchical relationship
  • Card View:Directly add subtasks to another card
    1. Hover over the card where you want to add a subtask.
    2. Select theExpandericon >Add Subtask.
      Another way to add a subtask is to selectMenu>Add Subtask.
    3. Type the task.
      Subtasks created this way are displayed as child rows to the task in grid view.

Filter subtasks by levels

Quickly view subtask cards by their relationship with other cards with the level at the top of the Smartsheet window.

The default filtered view for new sheets is All Levels.


Publish from card view

Owners and Admins can useSmartsheet's Publish featureto share that sheet with others via a unique URL.

Here's how you can specify card view as the default view for a published sheet:

  1. On the feature bar, selectPublishPublish icon on right feature bar.
  2. To create a shareable link, turn either of these sliders on:
    • Read Only - Full
    • Edit by Anyone
  3. To open thePublish Linksform and specify options for the link, selectGet Link.
  4. In theDefault Viewlist of thePublish Linksform, selectCard.

Tips for getting the most out of card view

Here are some ways you can be more efficient when you use card view.

Use keyboard shortcuts to navigate quickly

Enter Open the edit row form
Shift + Enter Add card (enter a title and pressEnteragain to add the card). You can also use this keyboard shortcut to add a subtask to a card.

Create a checklist of subtasks

You can create a checklist in a parent card from subtasks that you can mark asCompleteorIncomplete. A ratio of completed subtasks is displayed at the bottom of the parent card.

To turn add a checkbox or designate a checkbox column for your subtasks

  1. In the right side of the toolbar, selectSettingsSettings.
  2. In theSubtask Checklist Fieldlist, select an existing checkbox column as yourSubtask Checklistfield.

If you don’t have an existing checkbox column, follow these steps:

  1. SelectAdd Field.
  2. Type a name for your new checkbox column.
  3. SelectCheckbox.
  4. SelectOK.
  5. In theSubtask Checklist Field, select the field you recently added.
